The short version. Pay monthly, cancel whenever you like, and your data stays yours. We'll keep the service running and fix things when they break. We can't promise it will never go wrong, so keep your own exports — and there are limits on what we can be held responsible for.
These terms are between you — the business using Roundbook — and Roundbook, operating from the United Kingdom. By signing up you accept them.
Roundbook is sold to businesses, not consumers. Some consumer protections won't apply to you.
You need to give accurate details and keep your password to yourself. You're responsible for what happens under your account, including anything the people you add do. If you think someone else has got in, tell us straight away.
You must be 18 or over and entitled to run a business in your country.
New accounts get 30 days free. We won't ask for a card during the trial, and nothing is charged unless you set up payment yourself.
After that it's a monthly fee plus an amount for each additional worker, as shown on the pricing page when you sign up. We take it through Stripe, by Direct Debit or by card, at the start of each month.
If your team grows, the price goes up from the next payment. We tell you the new figure before you add someone.
We may change our prices, but we'll email you at least 30 days before it affects you, and you're free to cancel.
We'll email you and try again. Your round doesn't disappear: you keep access to view everything, and only adding new work is paused.
If it's still unpaid after 60 days we may close the account. We'll warn you first, and you'll have the chance to export everything.
Cancel whenever you like, from inside the app or by emailing us. You'll keep working until the end of the month you've paid for.
We don't refund part-months, because we can't un-run the servers. If something has genuinely gone wrong, ask — we'd rather sort it out than argue about £19.
Everything you put into Roundbook stays yours. We claim no ownership of your customer list, your prices or anything else.
You can export the lot at any time, in a format other software can read. We won't hold your data hostage to keep you paying — not when you cancel, not when a payment fails, not ever.
We keep your records for 90 days after an account closes, then delete them.
We'll do our best to keep Roundbook available and working, back your data up automatically, fix faults as quickly as we reasonably can, and tell you honestly when something has gone wrong.
We can't promise it will never be unavailable. Servers fail, suppliers have outages, and updates occasionally cause problems. We don't offer a guaranteed uptime figure, because we'd rather not promise something we can't hold to.
We take automatic backups and take them seriously. Even so, download an export now and again and keep it somewhere else. Any business that depends entirely on one supplier's backups is taking a risk, and that includes depending on ours.
Don't use Roundbook to break the law, to send unsolicited marketing in breach of the rules on electronic marketing, to store data you have no right to hold, or to attack or interfere with the service or other users. Don't attempt to reach another business's account.
We can suspend an account that's doing any of this. If it's serious we'll act immediately; otherwise we'll ask you to stop first.
If you connect GoCardless or Stripe, that's your account and your relationship with them. The money goes to you and never passes through us. You're responsible for their terms, for collecting properly, and for what you charge your customers.
Nothing here limits our responsibility for death or personal injury caused by our negligence, or for fraud — those can't be limited by law and we're not trying to.
Beyond that: we're not liable for money you don't earn, business you lose, or damage to your reputation. Our total liability in any 12-month period is limited to what you paid us in that period.
We say this plainly because a £19-a-month product cannot carry unlimited risk. It's the ordinary bargain for software at this price, and it's why point 8 matters.
We may update these terms. If a change matters to you, we'll email you at least 30 days beforehand. Carrying on using Roundbook after that means you accept them; if you'd rather not, cancel.
You can leave at any time. We may close an account that breaks these terms or goes unpaid, and we'll give you notice and a chance to export unless the breach is serious.
These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction. If any part of this is unenforceable, the rest still applies.
